Breinton Recital Society is a community of friends who love music, and we treat your personal information the way we treat our guests: with care and respect. We collect only what we need to run the Society and keep in touch with you, we keep it safe, and we never sell it or pass it to anyone else for their marketing. This notice explains what we collect, why we collect it, and the rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect, and why
Members
When you join the Society, and during your membership, we may collect your name, email address, telephone number, postal address, Gift Aid declarations, age (if you are under 18) and photographs or video in which you appear. Because our recitals take place in a private home, we need to know who is attending before each event. This information is used only by committee members to administer your membership and organise our activities. Our lawful bases are the performance of our membership arrangements with you and our legitimate interest in running a safe, well-organised society.
Booking recital tickets
When you book tickets we collect the name, email address, telephone number and postal address of the person booking, so that we can confirm your reservation and welcome you at the door. Our lawful basis is the performance of our contract with you. We will not use your booking details to send you marketing unless you have separately joined our mailing list.
Our mailing list
If you join our mailing list, we hold your name and email address (and, if you choose to give them, your telephone number and postal address) and use them to tell you about coming recitals and Society news. We do this only with your consent, and every message tells you how to unsubscribe; you can also withdraw consent at any time by contacting us. We only ever send our own news, never marketing from anyone else.
Donations and payments
Ticket payments and donations are processed through Stripe. Stripe processes your payment details under its own privacy policy; we receive confirmation of your payment and your contact details, not your full card information. Where you make a Gift Aid declaration, we are required by HMRC to keep a record of it, together with the related donations, for at least six years. Our lawful bases are the performance of our contract with you and our legal obligations as a charity.
Photography and recordings at recitals
We sometimes photograph or record our recitals for the Society’s archive and to promote our work, and members of the audience may appear incidentally. Our lawful basis is our legitimate interest in recording and promoting the work of the charity. If you would prefer not to appear, please tell us at any recital or contact us, and we will do our best to exclude you; we will always exclude you from marketing materials on request.
Website visitors
Our website does not use analytics or advertising trackers, and you can browse it without telling us who you are. It sets one essential cookie to make the site work, and some pages contain content from other services (see “Cookies” below).
Who we share your information with
Your information is seen only by the committee members who need it to run the Society, and by the reputable service providers we use to operate — for example our email provider and Stripe. We never sell your information and we never pass it to third parties for their own marketing. Some providers, such as Stripe and YouTube, may process data outside the UK; where they do, transfers are protected by UK adequacy decisions or equivalent legal safeguards.
How long we keep your information
We review the personal information we hold at least every two years and delete or anonymise anything we no longer have a good reason to keep. Gift Aid records are kept for at least six years, as HMRC requires. If you unsubscribe from our mailing list, we keep a minimal record of your request so that we do not contact you again.
Children
Where we knowingly hold information about a child under 13, we make sure the person with parental responsibility has seen the relevant information or has given consent on the child’s behalf. Once a child is 13 or over, we rely on the child’s own consent.

Under the UK GDPR you have the right:
- to be informed about what we collect and how we use it — that is this notice;
- of access — you can ask to see the information we hold about you;
- to rectification — you can ask us to correct or update it;
- to erasure — you can ask us to delete it;
- to restrict processing — you can ask us to pause our use of it while a concern is looked into;
- to object — you can ask us to stop using it for a particular purpose;
- to data portability, and rights relating to automated decision-making — though we do not make automated decisions about anyone.

Cookies
Cookies are small text files stored by your browser. Our website sets only an essential session cookie, which is needed for the site to function and is deleted when you close your browser. We do not use analytics or advertising cookies.
Some pages embed content from other services: recital videos are hosted on YouTube, our directions page includes a Google map, and ticket and donation payments are processed by Stripe. When you play a video or make a payment, those services may set their own cookies under their own policies. You can block or delete cookies at any time in your browser settings; the essential parts of our site will still work, though embedded content may not.
Changes to this notice
If we change this notice we will post the new version here with an updated date, and where the changes are significant we will email the people affected. Where the law requires it, we will ask for your consent before continuing.
